Tō tūranga hou | Your new role
We are seeking a motivated and detail-oriented operations administrator to join the team on a 6-month parental leave cover commencing early April. This role is approx. 20–25 hours per week. This is a varied role suited to someone who enjoys working across multiple parts of the business and keeping things running smoothly.
Key Responsibilities:
- Handle payroll (Smartly) and core HR admin, including timesheets, leave, deductions, onboarding/offboarding, training, and staff PPE/health requirements.
- Reconcile temporary labour hours and keep employee records accurate and up to date.
- Manage tender inbox, client applications, credit checks, and supplier invoice allocation.
- Assist with project documentation, including contracts, PS3s, warranties, and general admin.
- Process supplier applications and audit invoices.
- Manage consumables purchasing and leftover materials.
- Create social media content and liaise with creative agencies.
- Update the website with recent projects.
- Oversee vehicle WOF, RUC, servicing, insurance, valuations, and Navman updates.
- Coordinate repairs, insurance claims, and maintain asset/tool/PPE registers.
- Support H&S systems, documentation, and procedures.
- Assist with incidents, investigations, rehabilitation, and industry pre‑quals.
- Handle office supplies, enquiries, and general admin.
- Arrange travel, events, and support basic IT needs.
Ngā uara me ngā pūkenga e angitu ai koe | What you'll need to succeed
- Experienced administration experience of at least 2–5 years, within a trades or building environment is preferred.
- Background in accounting support or experience in payroll is advantageous.
- Adaptability and initiative are essential. This environment is very fast moving.
- Excellent time management and organisational skills
- Proficiency in Microsoft 365 and office systems
- Ability to work independently and collaboratively
